Defects and claims
Defects and claims are at the heart of VAREK. This section gathers the housing company’s observed defects, the claims (reklamaatiot) you assemble for the builder, and the inspections that catch defects in time — all under the same deadline tracking.
What the process consists of
Section titled “What the process consists of”In VAREK a defect’s lifecycle usually runs like this:
- Defect report — any member of the housing company logs a defect they’ve noticed: title, location, category, description, severity and photos. The defect can also be pinned onto a floor plan.
- Claim — the board assembles one or more open defects into a claim (a formal claim letter, reklamaatiokirje), which can be drafted with AI, downloaded as a PDF and sent to the builder directly from VAREK.
- Inspections — move-in, one-year and 10-year inspections are run with a step-by-step inspection assistant that turns observed shortcomings straight into defect reports.
- Deadline tracking — claims expire in three years unless renewed. VAREK keeps track of warranty periods and reminds you of deadlines.
Roles and permissions
Section titled “Roles and permissions”- Board (board_admin and board_member) — sees and manages all defects and claims. Only those with management rights (board_admin / super_admin) can change a defect’s status, assemble a claim and send it to the builder.
- Shareholder — can file defect reports (defaulting to their own apartment) and edit their own reports. Assembling and sending claims is the board’s job.
- Accountant — focuses on the finance module but still sees the Defects (Vikailmoitukset) and Claims (Reklamaatiot) sections. Board-level actions (assembling and sending a claim, changing a defect’s status) require management rights.
- Consultant — gets limited, individually granted permissions.
