Alteration notifications
Under the Finnish Housing Companies Act (AOYL), a shareholder must notify the housing company’s board in advance of any alteration or maintenance work in their apartment that may affect structures or systems for which the housing company is responsible. In VAREK, you can file the notification directly from the app.
Filing an alteration notification
Section titled “Filing an alteration notification”- Open My pages → My alterations (
/omat-muutostyot) from the menu. - Choose “Uusi ilmoitus” (New notification).
- Fill in the form:
- Title — a short description of the work, for example “Bathroom renovation”.
- Description — a more detailed explanation of the scope and nature of the work.
- Affected areas — select which spaces or structures are affected (for example bathroom, kitchen, wet room, load-bearing structures).
- Contractor — the name of the company or person carrying out the work.
- Schedule — the estimated start and end dates.
- Choose “Lähetä ilmoitus” (Submit notification).
What happens next
Section titled “What happens next”The board receives the notification and reviews it inside VAREK. The status updates in your My alterations view:
- Pending — the notification has been submitted and is awaiting the board’s decision.
- Approved — the board has approved the work.
- Approved with conditions — the work is approved subject to conditions (for example, a requirement to use a licensed contractor or to provide documentation).
- Rejected — the board has rejected the notification with reasons.
You will be notified of the decision via VAREK’s notifications.
For the board: condition templates
Section titled “For the board: condition templates”When the board approves work subject to conditions, the conditions can be added from a ready-made template instead of typing them by hand. In the review view (Asiointi → Muutostyöt, open a notification), the Conditions section has an “Add conditions from a template” picker:
- Choose the template matching the work type — for example Air-source heat pump installation, Wet room renovation, Electrical work or General conditions. VAREK suggests suitable templates based on the notification’s affected areas.
- In the preview, untick any condition lines you don’t need.
- Choose “Add conditions” — the lines are added to the notification as individual conditions that can be edited and removed like hand-typed ones, and the shareholder acknowledges them normally.
