Electronic signatures

In VAREK the board can request strong-authentication electronic signatures on the housing company’s documents — for example meeting minutes or contracts. Signatories authenticate with bank credentials or a mobile certificate (eIDAS), and the finished, signed PDF is stored back into the housing company’s documents.

  1. Open Dokumentit (Documents) and find the document to sign.
  2. Choose Pyydä allekirjoitus (Request signature) on that document.
  3. Fill in:
    • Title — e.g. Board meeting minutes 1/2026.
    • Signatories — add each by name and email. You can add several and set the signing order.
    • Note (optional).
  4. Send. Each signatory gets their own link to authenticate and sign.

In the Allekirjoitukset (Signatures) section of the Documents page you see each request’s status:

  • Draft / Sent / Partially signed — awaiting signatures.
  • Completed — everyone has signed; the signed PDF is available via the link and stored in the housing company’s documents (visible to the board).
  • Cancelled / Expired / Failed — the request didn’t complete.

You can cancel an in-progress request with the Peru (Cancel) button.

VAREK assembles the request and tracks status. The actual authentication and signing happen in the signing service (e.g. Visma Sign), which performs the strong authentication and produces an eIDAS-compliant signed file. VAREK never handles identity credentials.
