User roles

VAREK shows every user exactly the sections that belong to their role. The same menu adapts automatically depending on whether you are a board member, a shareholder, a bookkeeper or a consultant. This page walks through the roles and what each one sees.

You always have a role per housing company — you can be a shareholder in one housing company and a board member in another. Your active housing company and role are shown in the top bar, next to the housing company’s name.

There are two board roles:

  • Board admin (board_admin) — usually the chair. They have the broadest rights: they manage members, settings, property data and billing.
  • Board member (board_member) — sees and manages the whole housing company, but some administrative actions (such as creating users) are reserved for the board admin.

The board sees every section: defect reports and claims, inspections and deadlines, finances and resident invoices, communication, documents, property data and member management.

A shareholder sees their own apartment and the housing company’s shared information. A shareholder can:

  • view their own apartment on the “Oma asunto” (My apartment) page,
  • follow their own invoices on the “Oma talous” (My finances) page,
  • file defect reports and claims,
  • make bookings (for example sauna turns or shared-space reservations),
  • read the housing company’s shared documents and announcements,
  • follow the housing company’s budget at a summary level.

A shareholder does not see administrative functions such as member management or billing administration.

The bookkeeper focuses on finances. They have access to:

  • the “Talous” (Finance) module and its reports (for example the VAT calculation),
  • the “Asukaslaskut” (Resident invoices) view for managing invoices and payments.

The bookkeeper role is mostly read-oriented from a financial-administration perspective: they do not use the housing company’s other administrative functions and do not see, for example, member management.

A consultant is an external helper — for example an expert who assists with a single claim. They are granted only specifically assigned, fine-grained rights. The board can grant a consultant view or edit access to, for instance, defect reports, claims, documents, security documents or deadlines.

A consultant only sees the menu sections they have been granted access to. They can check their own permissions on the “Omat oikeudet” (My permissions) page.

A tenant is a person living in an apartment who is not a shareholder. (Note that a shareholder may also live in their own apartment — in that case they use VAREK as a shareholder, not a tenant. The unambiguous term for a renter is therefore tenant / vuokralainen.) A tenant is invited by the apartment’s owner (the shareholder), not the board.

A tenant sees the housing company’s shared information and their own apartment’s details. They can:

  • file defect reports about their own apartment and shared spaces,
  • make bookings for shared facilities (for example the sauna or laundry).

A tenant does not see administrative functions or other apartments’ details.
