Export data — the housing company archive package
Export data (Vie tiedot) collects everything your housing company has stored in VAREK into a single ZIP archive. The package suits your own archiving, audits, a change of property manager, or switching systems — the data is yours, and you can take it out at any time.
:::note Board admin only. The export is visible only to a board admin under Asetukset → Vie tiedot (Settings → Export data). One export can be created per 24 hours. :::
How to download the archive
Section titled “How to download the archive”- Sign in as a board admin.
- Open the Settings page and find the Vie tiedot (Export data) section.
- Choose Luo vienti (Create export). Packaging takes a moment.
- You receive a download link by email when the package is ready — the link also appears in the same section. The download link and the file links inside the archive are valid for 7 days.
What the package contains
Section titled “What the package contains”The archive root has a README.txt listing every file with an explanation,
plus taloyhtio.json (the housing company’s basic details). The CSV files are
semicolon-separated and encoded so they open directly in Excel with Finnish
regional settings.
The data is grouped into topic folders:
- Root — apartments, buildings, members, defect reports, claims with their sends and outcomes, deadlines, comments, repair cost estimates, and RS/turva documents.
- talous/ — financial entries, budget, maintenance-charge and water billing runs, resident invoices with lines and payments, bank statement imports and transactions, company loans and loan shares, recurring expenses, reimbursements, billing tickets, and bookkeeping (chart of accounts, vouchers, voucher lines, period locks, fiscal-year closes).
- varaukset/ — bookable facilities, bookings, availability rules, settlements, and wallet transactions and disputes.
- viestinta/ — channels with members and messages, scheduled and recurring messages, board emails with recipients and attachments, service tickets, SMS messages, and document-chat conversations.
- yhtiokokous/ — general meetings, agendas, attendees, motions, cast ballots, proxies, voting registers, and meeting-material links.
- kiinteisto/ — inspections with findings, structure types, maintenance plans (KPTS), PTS settings, smoke-alarm records, floor-plan annotations, annual-inspection campaigns, service contacts, and procurement and insurance quotes.
- muutostyot/ — renovation notifications with their conditions and messages.
- asukkaat/ — ownerships, corporate owners, tenancies with rent invoices and inspections, join requests, and invitations.
- pdf-merkinnat/ — PDF workspaces, document metadata, and annotations.
- documents/ — document metadata, text-editor documents with versions,
document merges and signature requests, plus an
index.htmlwith download links for the stored document files.
In addition, stored files get their own download-link folders (each with an
index.html to open in a browser and a files.csv listing):
- defect-photos/ — defect and inspection photos
- resident-invoices/ — resident invoice PDFs
- reimbursement-receipts/ — reimbursement receipts
- tenancy-photos/ — tenancy inspection photos
- pdf-documents/ — PDF annotation source files
Security
Section titled “Security”- The export contains only your own housing company’s data and can be started only by a board admin.
- Secret values — for example invitation-link, reply-link and API-key identifiers — are stripped from the package automatically.
- Internal logs (notification delivery logs, malware-scan states, AI usage metering) are not part of the package.
