Subscription and billing
The Subscription card shows your housing company’s VAREK subscription status, price and invoices. The card is part of the Asetukset (Settings) page and is visible only to the organisation’s main admin.

This page is about the housing company’s VAREK subscription — the fee charged for using the service. That’s separate from the maintenance-charge and water invoices sent to shareholders, which are managed in the Finance section.
VAREK Reklamaatio and the whole-company plans
Section titled “VAREK Reklamaatio and the whole-company plans”VAREK is two product lines, and a subscription can be either one:
- VAREK Reklamaatio — a focused module for claims and warranty management only. It includes defects, claims and the 3-year deadline watch, warranty-repair tracking, the annual inspection, documents and PDF annotation, and AI claim drafts — but not finances, communication, bookings, the maintenance log, the AGM, KPTS/PTS/HTJ or SMS.
- Basic, Pro and Property management — whole-company plans that also include the sections listed above.
When a housing company is on VAREK Reklamaatio, the interface shows only the sections related to claims and warranty; menu items for the other features are hidden to keep the view clear.
Changing plans (upgrading)
Section titled “Changing plans (upgrading)”You can upgrade from VAREK Reklamaatio to a full Basic or Pro plan at any time — per building. The upgrade takes effect immediately, and the price is applied from the next billing period. All the data you’ve already built up is kept as it is. The plan is chosen per housing company and per building, and switching between housing companies always works with the same login whatever the plan.

Subscription details
Section titled “Subscription details”The card shows:
- Status — for example active, trialing, past due or suspended.
- Plan type — the name of the active plan.
- Contract term — the term’s start and end dates and the next renewal.
- Notice period — in months.
- Price — the monthly price (incl. VAT).
If the housing company has been granted a complimentary subscription, the card shows its validity period.
Price by apartment count
Section titled “Price by apartment count”For newer subscriptions the price is made up of an organisation base fee plus a per-building price determined by the apartment-count bracket. The card’s pricing breakdown shows:
- the organisation base fee,
- each building’s price separately (plan and apartment count),
- the monthly net total and the gross total (incl. VAT).
This makes it clear what the company’s monthly fee is made of.
AI credit usage
Section titled “AI credit usage”If the housing company uses AI features, the card shows an AI credits meter: the monthly allowance and usage, the balance of bought credits, and any per-member usage cap.
Invoices and payment
Section titled “Invoices and payment”The Laskut (Invoices) section of the Subscription card shows the company’s VAREK invoices.
- Open Asetukset (Settings) and scroll to the Laskut section of the Subscription card.
- For each invoice you see the invoice number, period, amount, due date and status (sent, paid or overdue).
- For an open invoice the payment details are shown: recipient, IBAN, BIC, reference number, due date and amount.
- Pay the invoice in your online bank using these details.
Buy AI credits
Section titled “Buy AI credits”VAREK’s AI features (complaint drafts, document chat, etc.) consume monthly AI credits. If the credits run out mid-month, the board can buy more straight from the service:
- Go to Asetukset → Tekoälyasetukset (Settings → AI settings).
- Choose Osta krediittejä (Buy credits). You see the pack size and price (incl. VAT).
- Confirm — the credits are added to the company’s balance immediately, and the amount is automatically added to the next VAREK invoice (no card payment).
Bought credits do not expire at the month boundary, unlike the plan’s monthly allowance.
Automatic top-up
Section titled “Automatic top-up”You can enable automatic top-up: when credits run out, the service buys another pack automatically — up to a monthly cap (€) you set. Once the cap is reached, AI features wait for the next month, so there are no surprise charges. Toggle it on the same AI settings page.
Cancelling the subscription
Section titled “Cancelling the subscription”The organisation’s main user (org super admin) can cancel the housing company’s VAREK subscription directly from the Subscription card.
- Open Asetukset (Settings) and scroll to the Tilaus (Subscription) card.
- Choose Irtisano tilaus (Cancel subscription).
- A confirmation dialog shows the subscription’s exact end date before anything happens. Check the date and choose Vahvista irtisanominen (Confirm cancellation).
Notice period (3 months)
Section titled “Notice period (3 months)”Every subscription has a 3-month notice period, and the service is never cut off abruptly:
- Rolling monthly subscription (open-ended): the cancellation takes effect at the end of the third full calendar month after the notice month. For example, notice given on 10 March ends the subscription on 30 June. Billing and full access continue until the end of the notice period — no refunds.
- Annual subscription (fixed 12-month term): it auto-renews for another year unless notice is given at least 3 months before the term ends. If notice is late, the term renews and the subscription ends only at the end of the next term. You get an email reminder about 1.5 months before the notice deadline, because boards rotate yearly.
Exporting your data (30 days)
Section titled “Exporting your data (30 days)”After the end date, the company’s data stays readable and exportable for a further 30 days (read-only): you can log in, view data and run an export, but no new data is added. Export your data from the Asetukset → Vie tiedot (Settings → Export data) card in good time. A reminder banner appears at the top of the page while the subscription is cancelled or ended.
Withdrawing a cancellation
Section titled “Withdrawing a cancellation”You can withdraw the cancellation any time before the end date: open the Subscription card and choose Peru irtisanominen (Withdraw cancellation). The subscription then continues as normal.
